Job purpose
SYCAC is seeking for a reliable Operations Assistant, who will be responsible for providing support in procurement and logistics operations, and assisting with financial and HR field tasks.
in addition to performing any other tasks within his/her competence.

Key Responsibilities

Responsibility for implementing all tasks of field purchasing cycle and ensuring the quality of materials and services, including; Contribute in market survey implementation. Follow up on purchase orders, collect quotations from the market and suppliers, and communicate with suppliers. Prepare quotations and communicate with potential service providers, Follow up on purchase orders in coordination with the Finance and Operations Department, Preparing and completing contracts and agreements necessary for purchases, Ensure technical specifications and guarantees for purchases and Completing invoices. Preparing procurement records and completing the required specifications, Fulfill weekly payment orders and plan payments, Translation of supporting documents from the field when needed, Maintaining records of suppliers and service providers and evaluating their performance. Continuously updating asset list. Periodic follow-up of equipment and devices and performing maintenance when necessary in accordance with approved procedures. Coordination with the financial department and field staff on all financial transactions. Managing daily accounting work. Preparing and submitting reports (monthly, periodic, emergency) to the Operations Department. Submitting all monthly financial statements, disbursement schedules, and invoices to the financial department. Review and audit all invoices and ensure their accuracy, and record all operations (revenues and expenses) on the accounting program. Providing support during internal and external audits. Process payroll payments for the field staff timely and accurately. Adherence to the policies and procedures followed by SYCAC in all operations. Commitment to the Code of Conduct, child protection, and prevention of sexual exploitation and harassment. Commitment to executing any other related tasks in coordination with the direct manager.

Required Qualifications

Bachelor’s degree in a relevant field. At least 2 years of Practical experience with non-profit organizations. Possess the skill of dealing with the work team effectively and positively. Excellent Planning and organizing skills and ability to adhere deadlines. Broad understanding of the work environment and ability to communicate with various actors. Excellent report writing skills. Very good analytical and computer skills, including MS Office (Word, Excel, Outlook, PowerPoint). Advanced level of Arabic writing & Speaking skills, Level B2+ in English.
